QuickBooks Online
Push customers, invoices, and payments to QuickBooks Online - automatically as they're created, or on demand.
What syncs
- Customers become QuickBooks Customers (name, company, email, phone, billing address). If a QuickBooks customer with the same display name already exists, it's reused instead of duplicated.
- Invoices are created with their line items, invoice number, issue date, and due date. Line items post under a generic Services item that's created for you (QuickBooks requires every line to reference an item).
- Payments are applied against their QuickBooks invoice with the payment date and reference number. Refunds and adjustments are not pushed - handle those in QuickBooks directly.
Records are matched by an internal mapping, so re-syncing updates the existing QuickBooks record instead of creating a duplicate.
Connect
- Open App Center > QuickBooks Online.
- Click Connect to QuickBooks. You'll be sent to Intuit to sign in and pick the company to connect.
- Approve access and you'll land back in RAD Repairs with the connection shown as active, including your company name.
- Click Test Connection any time to verify the link is healthy.
Seeing "Server Setup Required"?
The platform hasn't finished configuring its QuickBooks app credentials yet. Contact support - there's nothing to fix on your end.
Sync settings
- Integration enabled - master switch for all automatic syncing.
- Auto-sync new customers / invoices / payments - when on, records push to QuickBooks in the background the moment they're created in RAD Repairs. Syncing never blocks or slows down your workflow; failures are recorded in the sync log.
Sync Everything Now
Pushes your recent history in one pass - up to 500 customers, 500 invoices, and 500 payments (newest first). Progress is shown live, already-synced records are updated rather than duplicated, and results land in the Recent Sync Activity log at the bottom of the page.
How sales tax is handled
Tax is added to each invoice as a Sales Tax line item so the QuickBooks total always matches the RAD Repairs total. Per-jurisdiction QuickBooks tax codes are not mapped - if you need itemized tax categories in QuickBooks, review synced invoices with your bookkeeper.
Troubleshooting
- Errors in the sync log - each entry shows the record, operation, and QuickBooks' error message. Fix the cause (e.g. a missing customer email QuickBooks rejects) and sync that record again.
- "Token refresh failed - please reconnect" - QuickBooks connections expire after ~100 days without use. Click Connect to QuickBooks again; your mappings and history are preserved.
- Disconnect - stops all syncing and revokes RAD Repairs' access at Intuit. Records already in QuickBooks are untouched.
